1. Calendar Management
All meeting invites are sent through Google Calendar, which syncs with your mobile calendar if it is set up. Please ensure that your notifications are enabled and your calendar settings are adjusted according to your preferences.
2. Scheduling Meetings
We use Google Meet for all meetings. Google Meet offers several tools, including:
- Syncing with calendars, sheets, docs, and drives for presentations
- The ability to record meetings (with permission from all attendees)
- Jamboards for brainstorming sessions
When scheduling meetings, please coordinate time slots and check calendar availability. You can make individual calls through your phone.
3. Evaluating the Need for a Meeting
Before scheduling a meeting, ask yourself: Can this be resolved with an email? If so, opt for email communication instead. We promote a writing-first culture to minimize unnecessary meetings.
4. External Communication Beyond Emails
For communication with external stakeholders, we may use third-party messaging apps like WhatsApp or Google Chat. However, these platforms are used for informal discussions only. Official approvals for costs, content, etc., must be obtained through email for documentation and clarity.
5. Collaborative Tools
To ensure smooth collaboration in our remote-active work environment, we encourage the use of the following tools:
- Presentations: We use Google Slides or Canva for internal and external presentations. It allows seamless presentation in Google Meet while viewing other participants.
- Spreadsheets and Docs: Google Sheets and Docs are used for tasks requiring multiple collaborators. Feedback is provided through comments, and changes can be tracked via the document history.
- Google Drive: All work-related documents are saved on Google Drive for easy access from anywhere.
- Notion: We use Notion to organize all project briefs, information, and research in one central location.
- Asana: Asana is our project management tool. If you need access to a project, please contact your team lead. Asana helps track project status and manage timelines and tasks.
